We are currently seeking a highly motivated Office Administrator to join our IT Operations Team at the Digicel Khalsa office, reporting to the Head of Information Technology. This is an exciting opportunity to be part of our growth and innovation!
The selected candidate will be responsible for ensuring accurate financial accountability, managing office administration and inventory, and providing business and administrative support to the Technical and IT teams for Pacific operations
Core responsibilities:
- Raise OPEX & Capex Purchase Order with necessary approvals.
- Process Tower rentals as per agreement/contract. Provide accruals to finance in month end.
- Process Tower power bills. Provide accruals to finance in month end.
- Process site contractor’s payment on weekly basis.
- Administration works: arrange accommodation, flights and rentals for technical team during projects, training and cyclone preparations.
- Prepare Technical Opex budget for new financial year.
- Liaise with payments team and reconcile supplier statements to ensure timely payments of technical invoices. Update Technical payment tracker.
- To oversee that the arrangement of goods has been done in an orderly system within the stock location system so that the stock can be stored easily and retrieved whenever there is a requirement. Similarly, he/she ensures that the stocks stay physically protected in the warehouse
- To undertake the function of stock taking and confirm the periodic stock on a regular basis by working closely with the designated staff members
- Handle petty cash and reconcile receipts on a timely basis.
- Arrange hardware clearance with local agents.
- Liaise with vendors, procurement team, Finance team & cross functional teams
- Liaise with Pacific Energy to carryout sites refueling and update site fueling tracker.
- Work assigned by other Technical HODs.
- Ownership of policies and procedures pertaining to best practice office administration
- Keep track of all the Operational tasks, projects/initiates and day to day action items
- Working as team player to meet organizational goals
- Create positive work environment
Academic qualifications, Experience & Skills required for this role:
- Professional Degree with 2+ Years of IT Industry Experience
- Excellent knowledge & experience in office Administration and Inventory management
- Excellent knowledge & experience in MS Office software
- Good knowledge & understanding of Finance processes
- Good Knowledge & experience in People, Process, System & compliance Management
- Good knowledge in project management & coordination
- Ability to prioritize workload and work with minimal supervision.
- Excellent written, verbal communication & interpersonal skills
- Proactive and self-motivated, action orientated and effective and punctual with action completion and follow up.
- Service management – providing response, diagnosis, and resolution for problems raised with the application in accordance with the service levels agreed with the various user communities
- Effective trouble shooting - problem analysis, resolution, and overall problem management.
- Data analysis - high lighting peaks, troughs and exceptions in system transactions as part of optimizing overall system performance and process efficient.
- Good reporting skills – i.e. will be required to provide regular progress updates on overall system performance, major issues, issues resolution against agree service levels
- Very good communications skills – will need to be able to communicate effectively with a range of personnel involve in the project, including technical and non-technical personnel and ranging from the application vendor, Digicel’s distributors and Digicel management
