The Executive Assistant is a critical role responsible for providing high-level administrative support to the Regional CEO. This position requires exceptional organizational skills, a proactive approach, and the ability to handle multiple tasks and priorities in a fast-paced and dynamic environment. The Executive Assistant will play a crucial role in managing day-to-day administrative operations, facilitating effective communication, and ensuring the smooth functioning of the CEO's office.

 

Core responsibilities:

 

  • Manage the Regional CEO's calendar, schedule appointments, and coordinate meetings, both internally and externally.
  • Prepare and organize documents, reports, presentations, and correspondence for the Regional CEO's review and distribution.
  • Handle travel arrangements, including booking flights, accommodations, and transportation.
  • Maintain confidential files, records, and databases, ensuring accuracy and accessibility.
  • Serve as a primary point of contact for internal and external stakeholders, including senior executives, clients, and partners.
  • Draft, proofread, and edit communications, including memos, emails, and reports, on behalf of the Regional CEO.
  • Facilitate effective communication between the Regional CEO and various departments, teams, and individuals within the organization.
  • Coordinate and arrange logistics for meetings, conferences, and events, ensuring all necessary resources are available.
  • Prepare meeting agendas, take minutes, and distribute action items to relevant stakeholders.
  • Collaborate with internal teams to gather and compile data, reports, and presentations for meetings.
  • Follow up on action items and ensure timely completion of tasks by relevant parties.
  • Build and maintain positive relationships with internal and external stakeholders, representing the Regional CEO professionally.
  • Coordinate and schedule appointments, meetings, and events with key stakeholders, both within and outside the organization.
  • Maintain a high level of confidentiality in handling sensitive information and documents.

 

Academic qualifications and skills required for this role:

 

  • Bachelor's degree in business administration, communications, or a related field (preferred).
  • Proven experience as an executive assistant or in a similar role, preferably supporting C-level executives.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong verbal and written communication skills, with exceptional attention to detail.
  • Proficiency in office productivity tools, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain a high level of professionalism, confidentiality, and discretion.
  • Strong interpersonal skills and the ability to build relationships with diverse stakeholders.
  • Demonstrated problem-solving skills and the ability to work independently.
