We are seeking a highly organized and detail-oriented Project Document Specialist to join our team. The successful candidate will be responsible for managing and maintaining all project documents, ensuring accuracy, completeness, and compliance with company standards. The Project Document Specialist will work closely with project managers, stakeholders, and team members to facilitate effective document management throughout the project lifecycle.


Main Duties/ Responsibilities:


  • Maintain a comprehensive repository of project documents, including project plans, requirements documents, design documents, specifications, meeting minutes, and other relevant materials.
  • Organize and categorize documents according to project phases, document types, and other relevant criteria.
  • Ensure that all project documents are up-to-date, accurate, and accessible to authorized team members.
  • Implement document version control procedures to track changes and revisions effectively.
  • Collaborate with project managers, subject matter experts, and other stakeholders to gather, review, and update project documents as needed.
  • Communicate document management standards, procedures, and best practices to project team members.
  • Facilitate document review and approval processes, ensuring timely feedback and resolution of issues.
  • Serve as a central point of contact for document-related inquiries and requests from internal and external stakeholders.
  • Identify and address discrepancies, inconsistencies, and compliance issues in project documentation.
  • Implement quality assurance measures to improve document management processes and mitigate risks.
  • Offer ongoing support and assistance to ensure adherence to document management standards and procedures.


Academic qualifications and/or experience required for this role:


  • Bachelor's degree in business administration, information management, project management, or a related field.
  • Proven experience in document management, preferably in a project management or technical environment.
  • Familiarity with document management systems, collaboration tools, and version control
  • Strong organizational skills with keen attention to detail and accuracy.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with stakeholders at all levels.
